Prospective Clients
All new clients require completed intake paperwork and insurance verification before their first appointment can be confirmed.
Please complete an appointment request on the Client Portal as we need your Full Name, Date of Birth and Email Address to create a User Profile. Once we have these details, we’ll promptly send you electronic intake forms - including the insurance form - via your portal.

Most of our therapists are credentialed with Aetna, Blue Cross, Cigna and United Healthcare and can offer services at the contracted rate with those insurance companies. We are also contracted providers with some Medicare plans.
If we are an out‑of‑network provider, that means we do not have a contract with your insurance company. We can still offer you therapy, however you would pay the full session fee upfront, and we would provide you with a “superblll” which is an itemized receipt containing the essential information your insurance needs to process a claim for out‑of‑network reimbursement.
You may be wondering, “Do I go through my insurance, or can I use my Employee Assistance Program (EAP)?
Insurance helps cover the cost of ongoing therapy, though you may have to pay a copay or deductible. It’s a good option if you want long-term support or already have a therapist in mind.
On the other hand, EAPs offer free, short-term counseling - usually around 3 to 6 sessions - to help with things like stress, anxiety, or family issues. EAP sessions are completely confidential, and you don’t need to use your insurance. EAPs are a great starting point if you want to try therapy or need quick support.
You can always start with the EAP and switch to using insurance later if you need longer-term care.
Self-Pay is another option. A 50-minute session with a Healing Wounds Healthcare therapist is $125. If our therapists have availability, then we may be able to offer more discounted rates based on client need and therapist openings.

Virtual and in-person counseling is available. Our main offices are located inside Gateway Church in Clermont, Florida. The practice owner also has an office off her Clermont home.

Existing Clients
Clients are assigned a Client Portal on TherapyNotes once they begin services. Your email is your Username and you create your password. If you forget your password, please reach out for a password reset.
TherapyNotes Client Portal allows you to manage your care. Through the portal, you can complete intake forms and paperwork online before your first session, schedule or request appointments with your therapist, view upcoming appointments and session history, access documents or resources shared by your therapist, update contact, payment and insurance information (if applicable), and make secure credit card payments online.
Missed Session & Cancellation Policy
Your session time is reserved just for you. If you cancel your appointment less than 24 hours before the scheduled time, fail to show up, or arrive more than 15 minutes late, you will be charged the full session fee.
Your therapist's income is dependent on services provided. This fee is not covered by insurance and will be billed to your payment method on file.
Emergencies or illness (e.g., hospitalization) may be exempted at the provider’s discretion. A one‑time courtesy waiver may apply; further incidents will incur full charges.
We kindly ask for at least 24 hours' notice if you need to cancel or reschedule an appointment.
Treatment planning is a collaborative process between therapists and client where we identify your therapy goals, outline challenges, and choose the most effective treatment strategies tailored to your needs. Treatment plans are updated every 3-6 months.
What helps therapy be effective?
Consistency Matters: Try to keep appointments and communicate if you need to reschedule.
Be Open and Honest: Therapy works best when you share openly about your thoughts, feelings, and experiences.
Set Realistic Treatment Goals: Work with your therapist to set clear, realistic goals that guide your sessions and measure your progress.
Homework and Practice: Sometimes your therapist may suggest activities or exercises between sessions to support your growth.
Speak Up: If something isn’t working - like your therapy approach or scheduling - let your therapist know so adjustments can be made.
Crisis Support: If you’re ever in crisis or feeling unsafe between sessions, reach out immediately to emergency services or crisis hotlines.
Confidentiality: Your privacy is protected, but therapists are required to act if there’s risk of harm to you or others.
Self-Care: Self-care practices like sleep, exercise, nutrition, and social connection are essential to mental and emotional health.
