How do I get started?

Getting started is simple. You can email our Virtual Administrative Assistant at lori@healingwoundshealthcare.com or call our office at 325-499-1372 or complete an appointment request on the Client Portal.

For an appointment request to be made, Therapy Notes requires a Full Name, Date of Birth and Email Address to create a User Profile. Go to the Client Portal to learn more.

If you request an appointment through the portal, we will follow up with you by sending a Welcome Email which includes your electronic intake forms.

Also, we do not have an in-person receptionist therefore our phone calls go directly to voicemail. Please leave a detailed message and someone will get back to you within 24 business hours.


How much does therapy cost?

The cost of therapy differs depending on how you pay for services.

If our practice is contracted with your health insurance provider, then we are considered an IN-Network provider and we offer therapeutic services at the negotiated reimbursement agreement contracted rate.

Currently, the licensed therapists at Healing Wounds Healthcare are either in-network (or in the process of getting credentialed) with these health insurance companies:

  • Aetna

  • BCBS (Lucet)

  • Cigna (Evernorth)

  • Employee Health Network

  • United Healthcare (Optum) including UMR

  • some Medicare plans

  • VACCN

  • Registered Interns bill under the supervision of a Licensed Therapist - United Healthcare does NOT allow for supervisory billing

If we are not contracted with your insurance provider, then our services are considered Out-of-Network (OON). This means we do not have a negotiated reimbursement agreement with your insurance company.

You have the following options if we are OON:

  • Pay for services using our reduced fee self-pay rates

  • Request a Superbill to submit to your insurance company for possible Out-of-Network reimbursement, if your plan includes OON benefits

  • Seek services from an in-network provider if you prefer to use your insurance's contracted benefits. Contact your insurance company for a list of contracted providers.

  • Please note that Out-of-Network reimbursement is determined solely by your insurance company and is not guaranteed. Clients are responsible for all charges regardless of any insurance reimbursement.

Therapy Services are $175 for the Intake Session and $150 for follow up sessions. Payment is due at the time of service. If you are not using insurance, please ask about our self-pay rates.

Every health insurance plan is different - even if it is through the same insurance company. Your benefits for mental health services, including copays, deductibles, coinsurance, authorization requirements, and out-of-network coverage, are determined by your specific policy.

We encourage you to contact your insurance company to verify your behavioral health benefits before your first appointment.

Our administrative team is also happy to help answer general questions about the billing process AND our medical biller is able to provide you with an estimated cost for services.


How does EAP work?

Employee Assistance Program (EAP) counseling is a benefit offered by some employers. EAP is intended to provide short-term, solution-focused counseling to address immediate concerns and assist clients in developing coping strategies. EAP services are not designed to provide ongoing or long-term psychotherapy.

We are contracted with employers who use Aetna EAP, Cigna EAP, Health Advocate EAP and Optum EAP. EAP sessions can be offered In Person or virtually and last for 45-50 minutes.

An authorization letter that has the EAP code, the approved number of sessions and the eligibility begin and end dates must be provided to our practice prior to services.

A payment card is still required for EAP clients in case we have to bill for sessions missed without 24 hours notice.

What’s the difference between a licensed therapist, a registered intern and a graduate level student intern?

A licensed therapist is a mental health professional who has completed a master's or doctoral degree, fulfilled Florida's post-graduate supervised clinical experience requirements, passed the required licensing examination(s), and holds an active professional license through the Florida Department of Health. Licensed therapists are qualified to independently assess, diagnose, develop treatment plans, and provide psychotherapy within their scope of practice. They are fully responsible for the clinical services they provide and may be credentialed with insurance companies to bill for covered services.

A Registered Mental Health Counselor Intern is a master's-level mental health professional who has graduated from an approved counseling program and is registered with the Florida Department of Health while completing the post-master's supervised clinical experience required for full licensure. Registered interns provide counseling and psychotherapy under the supervision of a Florida Board-approved Qualified Supervisor. Although they are not yet independently licensed, they are trained professionals who are actively developing their clinical expertise while receiving ongoing supervision and consultation.

A graduate-level student intern is a master's student currently enrolled in an accredited counseling program who is completing a required practicum or internship as part of their graduate education. Student interns provide counseling services under the supervision of both their university and an approved on-site licensed clinical supervisor. Their clinical experiences are designed to develop foundational counseling skills while ensuring that clients receive quality care through close supervision and oversight. Student interns are not licensed or registered as mental health counselors and provide services solely as part of their educational training.


Who should I contact if I can’t make it to my scheduled appointment?

Please reach out to your therapist directly if you need to cancel or reschedule your appointment. You can also use your TherapyNotes Client Portal to request or cancel appointments.

Appointments canceled with less than 24 hours' notice, or missed without notice, will be charged the full self-pay session fee of $125.00. This fee helps compensate your therapist for the time that was reserved exclusively for your appointment and could not be offered to another client.

Exceptions may be made in cases of genuine emergencies at the discretion of your therapist.

Please note that insurance companies do not reimburse or cover missed appointment or late cancellation fees. Therefore, this fee is the sole responsibility of the client and must be paid directly.


What are administrative fees?

Services provided outside of scheduled therapy sessions are not covered by insurance and will incur an administrative fee. These services may include completing FMLA or disability paperwork, writing letters or reports for courts, schools, employers, or attorneys, reviewing documents, and participating in phone calls, meetings, or court proceedings on your behalf. Administrative services are billed at $125.00 per hour, in 15-minute increments, and payment is the responsibility of the client.

Completion of forms or letters does not guarantee that your therapist will recommend or certify a specific outcome.


What is a Good Faith Estimate?

If you are uninsured or choose not to use your insurance, you have the right to receive a Good Faith Estimate explaining the expected cost of your mental health services before treatment begins. This estimate is based on your anticipated treatment needs and is not a contract. If your treatment changes, an updated estimate will be provided. Under the No Surprises Act, you have the right to dispute a bill that is substantially higher than your Good Faith Estimate.
